Event Planning Package (EPP #1)

The Premium Negotiator Plan

Details matter. In this industry, the details determine the outcome and a large portion of these details are fleshed out in the beginning. They are the pieces to the puzzle, without which, effective, efficient, and proper decisions can’t be made. Research, Negotiating Favorable Contracts, Budget Planning assistance with Key Contact details regarding your F&B to maximize revenue and working with hotel directly to provide final BEOs for program, Managing Room Block and communication to hotel for tracking rooms booked, managing VIP rooming list and overflow hotel assistance, and Review of Final Bill to ensure all concessions and credits negotiated have been applied. SLS Event Planning and Consulting will provide you with a detailed questionnaire to help better understand the needs of your group and enable us to put together a Request for Proposal for Hotels in your preferred locations. SLS will ensure you contract with a quality venue at the best rate available with enhanced contract terms, reduced liability and greater than before profit. It’s at THIS early phase where savings are made, ROI is greatly impacted, and where the chess board is set with rules in place that favor you, the client. A mis-step here can play out to great expense by the end of the event. This package is offered at $9,597

  • Mid-Level Negotiator Plan: Research, Negotiating Favorable Contracts, Budget Planning assistance with Key Contact regarding your F&B to suggest options to maximize revenue; however, SLS will not work directly with hotel or provide final BEOs. SLS will Manage Room Block and communication to hotel for tracking rooms booked to keep you informed on where you are with your room block (SLS will not provide additional assistance with overflow options). And finally, after you review your final hotel invoice for accuracy in your BEOS, SLS will review to ensure all concessions and credits negotiated have been applied. This package is offered at $8,597

  • Entry Level Negotiator Plan: If you are looking for a professional to do the Research, Site Selection, Negotiate Contract and then turn it back over to your team, then this plan is for you. This plan will take care of the initial legwork of finding you the ideal venue while finalizing a favorable hotel contract for a modest investment of $7,597.

Event Planning Package (EPP #2)

Plan It To The Minute

Research, Negotiating Favorable Contracts, Budget Planning, Managing Room Block, Pre-Planning Event Logistics Support and Review of Final Bill to ensure all concessions and credits negotiated have been applied. SLS Event Planning and Consulting is here to serve as an extension of your event team. The post-conference meeting and accounting is as important as pre-conference planning to maximize efforts when planning your next event. If you requested an account summary, it will offer valuable information that can work for you in future negotiations and event planning. Its here, in EPP #2 where you’ll find everything you need to plan the event, top to bottom, all the answers and plenty of time with Sherrie to ease the nerves and gain the confidence to execute, on your own, the plan you’ve established together. This package is offered at $14,997

  • Develop a customized Request for Proposal (RFP) based on proposed cities to research venues

  • Analyze hotel proposals and provide spreadsheet of several hotels for each city with recommendations.

  • Negotiate the hotel/group contract; including room rates, food and beverage terms, contract terms, concessions, attrition, and related clauses that impact your bottom line.

  • Develop realistic budget for food and beverage expenditures based on estimated number of attendees.

  • By participating in conference calls with key staff, we will determine space requirements, hotel preferences, banquet needs and audio-visual specifications.

  • If requested, SLS can develop a comprehensive master-planning schedule based on event needs determined for key staff.

  • Oversee room block, communications to hotel, tracking of rooms booked, managing VIP rooming list and overflow hotel assistance.

  • Assist key staff with speaker and vendor communications is dependable and frequent.

  • Confirm all hotel, speaker and vendor arrangements have been made prior to event.

  • Final accounting support to include bill review, consolidations and dispute negotiations.

Event Planning Package (EPP #3)

Detail Execution Plan

All Services Found in Package #2 (1-10 above), PLUS: Onsite Implementation Services, to include onsite event planning and management support; such as being Point of Contact for hotel staff to manage your food & beverage, production assistance to help your event run smoothly and on-time and if needed, oversea event staff to make sure everyone knows their responsibility and has what they need to make it a successful event. SLS will be there! How better to bring an orchestra together than to bring a professional, highly experienced and sought after conductor to lead and orchestrate. Anything can happen at a live event, from hotel mishaps, security concerns, technical conundrums, etc. Place the event in good hands by having Sherrie on site. This package is offered at $24,997, plus travel costs to include hotel room at venue hotel, meals, transportation to and from airport and airfare (to include seat assignment purchases under Delta, American or other affiliates).

  • Event Production Assistance: As we go over the agenda planning, offer guidance with staging set-up and suggestions to increase video production quality, staffing guidelines and instruction.

  • By participating in conference calls with key staff, we will determine space requirements, hotel preferences, banquet needs and audio-visual specifications.

  • Assist with hotel implementation timelines for hotel room block cut-off dates, and agenda.

  • Work with your key staff to schedule outside vendors to ensure seamless delivery and meet deadlines.

  • Work with AV service provider to ensure the audio-visual equipment is properly set up and working.

  • Most importantly, Sherrie is there to take the pressure and stress off YOU for keeping event on time, having room set up and event logistics running smoothly and efficiently for a successful event.

Event Planning Package (EPP #4)

Customized Event Strategy with Detailed Execution Plan

All Services Found in Package #3 above, PLUS: A Strategy Day to ensure you are off on the right foot when planning your event. Did you know that if you placed more emphasis on the pre-planning stages of your event, with the right strategies for marketing and content, you have the best potential for maximum profit along with filling seats with your future clients? With SLS’s Customized Event Strategy Day, you are well on your way to setting the ‘stage’ for success. Sherrie will fly out to meet you and your key staff for a full day of Event Strategy Consulting to create YOUR Customized Event Playbook. The key benefits to this additional service are condensing a 12-week process into a short period of time (very useful if time is of the essense), helping to avoid booking venues that won’t work for your intended event needs, and adding revenue ideas that may not have appeared until after your marketing was already in full swing. Not to mention, Sherrie will meet personally with you and your key staff to develop the Event Production Outline, which Sherrie will use to manage the event logistics. This package is offered at $29,997, plus travel costs for event including hotel room at venue hotel, meals, transportation to and from airport and airfare (to include seat assignment purchases under Delta, American or other affiliates). For your Strategy Day, travel costs for one (1) night’s stay, airfare, meals and transportation is included in the package price.

A brief list of these services are below, starting with what will be covered during YOUR Strategy Day:

  • Event Strategy – walk Client through their ideas and goals for the first step of designing and planning the event details.

  • Marketing Strategy – help Client with creating a marketing plan and discuss a marketing funnel; including introducing Client to marketing, copywriting and graphic designer vendors.

  • Mapping out Agenda for Maximum Profit Potential – SLS will share templates outlining an hour-by-hour agenda for event to help maximize sales and get the best out of each day; including but not limited to appropriate time for breaks, meal breaks, and last but not least … selling big ticket items.

  • Event Production Overview: Agenda planning logistics, staging set-up and suggestions to increase video production quality, staffing guidelines and instruction.

Once we complete our Strategy Day and have our Playbook in-hand, SLS will begin delivering the following (in addition to items 1-10 in Package#2):

  • Event Management: Sherrie will manage the confirmed staging set-up, secure bids for AV vendors that will bring high quality video production, produce master schedule of staffing guidelines and instruction.

  • Manage Event Logistics – Point of contact with hotel on room set up options, banquet needs and audio-visual specifications.

  • Manage hotel implementation timelines for hotel room block cut-off dates, and agenda.

  • Work with your key staff to schedule outside vendors to ensure seamless delivery and meet deadlines.

  • Work with AV service provider to ensure the audio-visual equipment is properly set up and working.

By placing more emphasis on the pre-planning stages of your event, including the right strategies for marketing and content, you have the best potential for maximum profit along with filling seats with your future clients? With SLS’s Customized Event Strategy Day, you are well on your way to setting the ‘stage’ for success. Sherrie will fly out to meet you and your key staff for a full day of Event Strategizing to create YOUR Customized Strategy Playbook. This package is offered at $10,000, inclusive of travel costs for one (1) night’s stay, airfare, meals and transportation.

  • Event Strategy – walk Client through their ideas and goals for the first step of designing and planning the event details.

  • Marketing Strategy – help Client with creating a marketing plan and discuss a marketing funnel; including introducing Client to marketing, copy-writing and graphic designer vendors.

  • Mapping out Agenda for Maximum Profit Potential – SLS will share templates outlining an hour-by-hour agenda for event to help maximize sales and get the best out of each day; including but not limited to appropriate time for breaks, meal breaks, and last but not least … selling big ticket items.

SLS will assist you with attracting additional revenue to your event by working with you to ensure you make the most of your event and your sponsors and exhibitors have a worry-free experience. Once you confirm your sponsors/exhibitors, SLS will provide the following:

  • Use of SLS’s Sponsor and Vendor Agreement (reviewed and approved by an attorney).

  • Suggestions for Sponsor and Vendor Packages according to your event size and needs.

  • Follow-up services to get signed agreements, logos (if needed for signage or marketing materials), hand-outs, shipping information for booth materials, etc.

  • Confirm sponsor/exhibitor needs to eliminate confusion and ensure smooth on-site delivery.

  • Develop exhibitor floor plan, oversee exhibit decorator selection and negotiation of contract.

  • Strategize sign placement, banners and on-site displays for maximum exposure.

This service is to ensure your speakers have a worry-free experience at your event. Once you confirm your event speakers, communicate their terms clearly and provide speakers with agreements; SLS will provide additional assistance and follow up with your Speakers such as:

  • Follow-up services to get signed speaker agreements.

  • Providing customized Welcome Letter to obtain their arrival/departure information, stage set-up needs, special meal requests, audiovisual needs, transportation services (if needed) and handout requirements.

  • On-site liaison between Client, Speaker and AV team (if you contract Package #3 or #4)

  • Confirm speaking dates and times per your final agenda.

  • Secure handouts and order forms in advance; as well as Client guidelines, drop times and any special offers.

  • Re-confirm details with speakers in advance of event.
